Appointment Auto-Broadcasting

Use this setting to automatically broadcast appointments based on your available interpreters and the requirements of the appointment.

How it works

The setting can be configured as OFF or ON.  It is OFF by default. When set to ON, the system will automatically invite interpreters to the appointment based on their permissions for Language Pair, Communication Type, and Service Type. It also takes into account any preferred broadcast lists configured for the account.

Invitations are sent in batches, based on the Interval and Batch-size as shown below:

  • The minimum interval is 30 minutes. 
  • The maximum batch size is 20 interpreters.

At the Account Level, LSC Admins can customize which eligible interpreters will be invited/prioritized through auto-broadcasting, as well as which interpreters should not be invited.

Note: Appointments more than 30 days in the future will not auto-broadcast upon creation, they will auto-broadcast 30 days before the appointment. 

How to configure auto-broadcasting

This setting can be configured at both the System level and the Account Level. System-level settings will be the default for all new and existing accounts. However, you can override this in the account-level setting, based on the needs of each account. You can also turn it on or off for a specific appointment during appointment creation. 

1) System Level Setting

To locate this setting, log in as an LSC Admin and navigate to Configuration>Company>Appointments. Click on Auto-Broadcasting.

2) Account Level Setting

To override the system-level setting for a particular account, log in as an LSC Admin and open the Account Viewer for the account you need to update. Click the Appointments tab and locate Auto-Broadcasting.

3) Appointment Level 

During appointment creation, you can choose auto-broadcasting settings that meet the needs of the appointment. This option is only available to LSC admins creating appointments. It is not available for a requestor or requestor admin creating an appointment.

As part of the Standard Appointment Form, there is a prompt to configure automation settings for that particular appointment; any automation setting configured at the Appointment Level will override the Account and System level settings.

Note: for custom Appointment Forms, it is optional to include automation settings.
