Calendar Auto-Add for Participants (.ics notification configuration)

When an appointment is created or updated, Boostlingo sends email notifications that include an .ics calendar attachment. LSC admins and any watcher roles will receive notifications with passive .ics attachments, meaning they always have to manually add the .ics to their calendar. 

For appointment participants - requestors and interpreters - the .ics attachment is formatted so that the recipient's email client may automatically add the event to the their calendar without any action required.

LSC administrators can control this behavior at the organization level. When the calendar auto-add setting is turned off, participants receive a standard add-to-calendar link instead — the event is not added automatically, and recipients choose when and whether to add it.

Note: This setting applies to appointment participants — requestors and interpreters. Admin and monitor roles are not affected by this toggle and will always receive a passive calendar link.

Configuring the setting

To update the calendar auto-add behavior for your organization, navigate to Configuration > Company > Appointments and click Edit.

Locate the Calendar Auto-Add for Appointment Invites toggle:

  • Toggle ON (default): Participants receive a calendar invitation. Depending on the recipient's email client settings, the appointment may be added to their calendar automatically.
  • Toggle OFF: Participants receive a passive "add to calendar" link. The event is not added automatically — the recipient must take action to add it.

Click Save when you are happy with your selection.

Calendar compatibility

The calendar attachment included in appointment notifications is compatible with:

  • Google Calendar
  • Outlook Calendar
  • Apple Calendar
  • All web calendars that support the iCal file type
